Control Procurement Decisions With Traceable Evidence

Water Bottling Plant Pre-Shipment Release Checklist

Shipment is an irreversible project gate. Once equipment is packed and moving, missing parts, unresolved deviations, unprotected surfaces, incorrect documents, or an unready destination become slower and more expensive to resolve. The release should connect technical, commercial, logistics, and receiving evidence.

01 Answer first

What should be checked before a water bottling plant is released for shipment?

Confirm the approved configuration, FAT disposition, correction and retest status, shipment-authorized open items, equipment identity, preservation and export packing, package contents, weights and handling information, shipping and customs documents, risk and insurance boundary, route, consignee, unloading, protected storage, and receiving inspection plan.

02 Where it fits

Position in the project journey

Shipment gate — after FAT disposition and before carrier collection.

03 Buyer inputs

What the buyer should prepare

  • Destination, consignee, import, route, site, and receiving information
  • Qualified customs, freight, insurance, tax, and legal review
  • Unloading, lifting, storage, inspection, and installation readiness
  • Authorized decision on shipment with open technical items

04 Allot Tech and manufacturing-resource inputs

What should be clarified or provided

  • FAT disposition and complete shipment identity
  • Preservation, packing, marks, contents, weights, and handling evidence
  • Agreed commercial and technical documents
  • Shipment release request with open-item and receiving instructions

Allot Tech coordinates requirement, quotation and project communication. Detailed engineering, manufacture, testing, documentation and confirmed service are performed by selected manufacturing resources according to the signed scope.

05 Technical scope

Questions and work to control

Reconcile the Technical Build and FAT Disposition

Verify equipment identity, approved configuration, inspection and FAT records, corrections, retests, concessions, shipment-authorized open items, missing bought-out items, loose parts, change parts, tools, spares, manuals, and software or backup deliverables due before shipment.

Approve Preservation and Export Packing

Review cleaning and draining status, disassembly, blocking, covers, moisture and corrosion protection, openings, electrical and instrument protection, loose-part control, case construction, lifting and center-of-gravity information where supplied, package marks, storage limits, inspection photos, and packing-list traceability.

Verify the Document and Route Package

Reconcile commercial invoice, packing list, transport records, origin and other agreed documents, consignee and notify details, marks, weights, dimensions, route, transshipment, carrier instructions, customs review, insurance or risk-transfer evidence, originals, and responsible delivery parties with qualified advisers.

Confirm Destination Receiving Readiness

Verify inland transport limits, site access, unloading and lifting equipment, competent personnel, protected laydown and storage, customs status, package inspection, shortage and damage notification, preservation monitoring, unpacking sequence, quarantine, and the handoff from logistics to installation.

Buyer questions answered

Practical answers before you request a quotation

Can equipment ship with open FAT items?

Only when the signed process permits it and every item has documented risk, owner, due point, correction route, evidence, and approval.

Who confirms customs documents?

Qualified customs, freight, tax, legal, and destination parties should confirm the actual transaction requirements.

Is a packing list enough for receiving?

No. Receiving may also need package identity, inspection, lifting, storage, shortage, damage, preservation, and technical handoff instructions.

06 Responsibility

Assign the owner before the work is due

Land, building and civil work, permits, import and customs, local taxes, site utilities, unloading, lifting, local labor, travel support and commissioning materials are not automatically included. Confirm every responsibility before order.

07 Common risks

What commonly creates avoidable uncertainty

  • FAT attendance is treated as automatic shipping release
  • Loose parts and documents cannot be traced to packages
  • Open actions disappear when equipment is packed
  • The destination lacks protected storage or suitable unloading resources

08 Acceptance or completion

How to know the stage is complete

Shipment is released only when the authorized reviewers accept the technical disposition, packing, documents, route, risk boundary, and destination plan with every deferred item assigned.

09 Required documents

Records that support the decision

  • Pre-shipment technical disposition
  • Preservation and packing dossier
  • Shipping-document and route checklist
  • Destination receiving and open-item handoff plan

Evidence basis

Official references and project limits

These primary sources support the general planning principles used in this guide. The rules, evidence and responsible authority for the actual project country must still be confirmed locally.

10 Next project step

Turn this decision into a reviewable project brief

Share the product, container, target output, destination and available site information. Unknown inputs can remain open for the first review.
