Transfer a Controlled Operating Asset, Not a Collection of Unsorted Files

Water Bottling Plant Handover Dossier and Baseline

The handover dossier should give the buyer a verified baseline for installed configuration, operation, safety interfaces, product control, maintenance, spares, software, training, tests, deviations, open actions, support, and future change. Contract terms define the final deliverables and obligations.

01 Answer first

What should be included in the final handover dossier for a water bottling plant?

Include the as-installed technical and software baseline, tests and deviations, operating and product-control records, maintenance and spares, training and competency evidence, custody and responsibilities, open items, support interfaces, and a controlled final index.

02 Where it fits

Position in the project journey

Project handover — after agreed acceptance evidence and before routine lifecycle ownership.

03 Buyer inputs

What the buyer should prepare

  • Final acceptance and custody authority
  • Operating record and change-control ownership
  • Open-item and lifecycle support management

04 Allot Tech and manufacturing-resource inputs

What should be clarified or provided

  • Contractual final documents and evidence
  • Software, spare, training, and technical baseline
  • Open-item and support information

Allot Tech coordinates requirement, quotation and project communication. Detailed engineering, manufacture, testing, documentation and confirmed service are performed by selected manufacturing resources according to the signed scope.

05 Technical scope

Questions and work to control

Define Handover by System and Responsibility

List the equipment and site boundaries, custody, operating authority, supplier obligations, buyer duties, local confirmations, and accepted exclusions for each system.

Compile the As-Installed Technical Baseline

Include final equipment list, layouts, process and piping records, connections, electrical and control drawings, I/O, software, recipes, settings, tags, and approved redlines.

Preserve Test and Acceptance Evidence

Index manufacturing inspections, FAT, site checks, mechanical completion, commissioning, functional tests, product trials, performance tests, deviations, and sign-offs.

Transfer Operating and Product-Control Records

Provide approved procedures, sanitation and quality interfaces, traceability, sampling, alarms, line clearance, abnormal response, shutdown, restart, and record templates within scope.

Transfer Maintenance and Spare-Part Readiness

Reconcile asset data, schedules, manuals, parts, special tools, lubricants, calibration, preservation, contacts, stock status, and unresolved maintenance actions.

Close Training and Competency Evidence

Record delivered content, language, attendees, trainers, practical assessments, authorization status, gaps, retraining, and buyer ownership of continuing competency.

Control Open Items and Support Entry Conditions

List punch items, temporary controls, due dates, access or remote-support needs, response channels, evidence for closure, and the signed commercial terms governing support.

Approve the Baseline for Future Change

Verify file integrity, revision, format, backups, user access, physical assets, responsible owners, final index, and the process that keeps changes traceable after handover.

Buyer questions answered

Practical answers before you request a quotation

Are equipment manuals a complete handover?

No. The buyer also needs installed records, tests, settings, software, procedures, maintenance, spares, training, deviations, and responsibilities as agreed.

Can open items remain after handover?

Only with an agreed status, control, owner, due date, closure evidence, consequence, and contractual treatment.

Who maintains the baseline after handover?

The buyer should assign owners for controlled technical, software, operating, quality, maintenance, and training records.

06 Responsibility

Assign the owner before the work is due

Land, building and civil work, permits, import and customs, local taxes, site utilities, unloading, lifting, local labor, travel support and commissioning materials are not automatically included. Confirm every responsibility before order.

07 Common risks

What commonly creates avoidable uncertainty

  • Files do not match installed configuration
  • Temporary startup settings become undocumented defaults
  • Open actions lose owners after team demobilization

08 Acceptance or completion

How to know the stage is complete

Accept when scope deliverables, installed records, tests, people, physical items, open actions, support, formats, and owners reconcile in the final index.

09 Required documents

Records that support the decision

  • Handover dossier index
  • As-installed baseline register
  • Open-item and support schedule

10 Next project step

Turn this decision into a reviewable project brief

Share the product, container, target output, destination and available site information. Unknown inputs can remain open for the first review.
