Required drawings, manuals, schedules, lists, certificates supplied with components, software-related records, and acceptance documents should be defined for the project, including format and language expectations.

Control Revisions Through Handover

Documents should show identifiable status so site teams do not work from superseded information. Final records should reflect approved project-specific changes where applicable.

Define the Document Register Before Manufacturing Release

List each required drawing, diagram, equipment list, utility schedule, interface record, control document, manual, parts list, certificate or inspection record, software or parameter backup, protocol, report, training file, and as-built deliverable. State purpose, format, language, originator, reviewer, status, revision, due gate, confidentiality, and final recipient.

Make the Final Dossier Match the As-Installed Plant

Reconcile approved field changes, serial or identification records, software revisions, settings, test results, spare parts, maintenance tasks, training, acceptance, warranty basis, and unresolved actions before handover. A folder of manuals is not a controlled dossier unless its index, revisions, equipment references, and missing items can be verified.

What is the minimum technical document set for a water bottling plant?

There is no universal minimum. Build a master document register from the actual process, equipment, interfaces, local design inputs, testing, installation, operation, maintenance, training and handover duties, with required language, format, revision and approval status.

When should as-built documents be delivered?

Agree progressive redline and final as-built gates so installation and commissioning teams can use current information and final handover reflects the accepted configuration. Define how late changes, software backups and superseded revisions are controlled.

Are editable drawings and software source files automatically included?

No. Native files, licenses, passwords, source code, access rights and future editability are commercial and intellectual-property terms. State exactly what is delivered, in which format, with what rights and support boundary.

Which food-contact records should be requested for tanks, hoses, seals and plastic components?

Create an installed product-contact register linking each item to material identity, intended use conditions, supplier evidence, applicable project or destination requirement, traceability and approved substitutions. Qualified reviewers should assess whether the evidence is adequate; a generic food-grade statement is not the final project conclusion.

How should food-contact evidence remain traceable after a component is replaced?

Link the original and replacement part numbers, material and supplier records, affected equipment, service conditions, approval authority and installation date. Update the as-built register and change history so maintenance does not silently introduce an unreviewed product-contact material.

06 Responsibility

Assign the owner before the work is due

Land, building and civil work, permits, import and customs, local taxes, site utilities, unloading, lifting, local labor, travel support and commissioning materials are not automatically included. Confirm every responsibility before order.
